Managing Offerings in ESS

When you view published service offerings, they appear in the order they were created. However, you can easily change this order using the provided arrow buttons.

Any adjustments you make are instantly and automatically saved. If you modify a published offering, your changes aren’t immediately public. Instead, they are saved to a 'Working Copy' of the offering. You'll know which service offering has a working copy as it will be indicated with a pen symbol.

Creating Service Offerings

In environments with multiple sites, new services are initially added to the "All Services" site, instead of individual, separate sites.

Steps to Add a New Service Offering:

  1. Add the Service Offering: Navigate to the option to create a new offering
  2. Define the Offering: Enter a name and choose an icon for your new service offering.
  3. Support Channel Selection: Decide which support channel will oversee these services. Note: This can be overridden for selected service items.
  4. Service Rating (For Efecte Service Management Channel): Choose whether to enable Service rating. When enabled, ratings will be visible to the requester when the status aligns with any value defined in the "Final" marked area, found in the Support Channels configuration.
  5. Approval Chain: Specify an approval chain for the entire offering. Individual service items can override this if needed.
  6. Ordering Multiple Items: Determine whether users can order several items in a single order.
  7. Define Service Items: Provide details about the service items related to the offering.
  8. Publish: Make the service offering available when you’re ready.

Important Reminder:

Be cautious when inputting data in Efecte Self-Service. Your input is automatically saved once you click outside of the field you're working in. Ensure you don't navigate to another tab immediately after entering new data to prevent any unintended loss of information.

Bundling Service Offerings into a Guided Offering

After creating the requisite service offerings, you have the option to bundle them into a guided offering.

Steps to Create a Guided Offering:

  1. Initiate Guided Offering Creation: Click on “Guided Offering” from the “Add” dropdown menu and name your new offering.
  2. Approval Process Selection: Choose the approval process. Your options are:
    1. “Superior Approves”
    2. “Approval per Service Item”
    3. “Set by Efecte Service Management”
  3. Selecting Offerings for the Guide: 
    1. Click the “Select Offerings” button.
    2. Choose which items should be ordered in the guide.
    3. Determine whether each specific item is mandatory or optional.

Deleting Offerings

Conditions for Deletion:

Only Unpublished and Indirectly Published services can be deleted.
Procedure:

Direct Deletion:

Click the "x" next to the service offering you wish to delete.
Note: Unpublished service offerings, along with all of their service items, are deleted immediately upon this action.

Indirectly Published Offerings Deletion:

A confirmation is required to delete indirectly published service offerings.
Changes made to the guided offering will be automatically published upon deletion.

Important Note on Undoing Deletions:

  • Undo Option: After deletion, an "Undo" button will appear at the top of the page.
  • Time-Sensitivity: If you proceed to work and ignore the "Undo" button, the option to undo the deletion will become unavailable.

Caution: Always double-check the details and ensure that you wish to delete a particular offering, as this action can have immediate effects and might be irreversible after a certain point.

Publishing and Concealing Services

When you publish an offering, it and all its items become visible on the front page for all users. You can still make changes after an offering is published, but these alterations are stored in a "Working copy" and denoted with a pen symbol, keeping them unseen by users until explicitly published. If you decide not to push these changes live, you have the option to discard all unpublished modifications using the "Discard changes" button.

When you undertake the actions of publishing or unpublishing, an "Undo" button will appear at the top, providing a quick rollback option. To hide a service offering from the front page, simply press the "Unpublish" button. However, keep in mind that even unpublished service offerings will remain accessible if they are selected within a guided offering.

Invalid Offerings Alert: Offerings highlighted in red font are considered invalid and will not be visible to users. They can be rendered invalid for a few reasons, such as not having a support channel assigned. This also applies to guided offerings: if one bundled service offering lacks a support channel, the entire guided offering becomes invalid. Furthermore, guided offerings cannot be published if they do not contain any service offerings.

Remember to validate your offerings and ensure all necessary channels are assigned to avoid an invalid status.

Using Service Icons in ESS

For each service offering, Efecte provides a variety of icons to choose from. If you don't find any of these icons suitable for your specific services, you can request new icons directly from Efecte.

While service items come with an icon option, you have the flexibility to upload any image from your collection. In situations where a product model might change often, it's advisable to use generic images. However, for more consistent offerings, using product images supplied by vendors could be more appropriate. Don't worry about the image size; it's automatically adjusted to fit the designated space.

If you wish to remove an icon, simply click the 'x' located in the top right corner of the icon. Remember, if no icon is chosen for a particular service item, only its name will be displayed to the user.

Customized Icons for Offerings

Admins in ESS (Efecte Self-Service) have the ability to enhance visual appeal and user experience by uploading custom icons for both service and guided offerings. To do so, simply click the plus character (+) located at the top of the respective icon area.

It's important to note that the supported image formats for this function are .jpg and .png. Once uploaded, images will automatically be scaled to a square aspect ratio of 150x150 pixels, ensuring uniformity across the platform. If you're crafting your own icons, utilizing the .png format allows for the incorporation of transparent backgrounds, enabling a more versatile visual dynamic.

Be mindful that customized icons are specific to the environment they are uploaded in and are not transferable through the export and import services functionality. For efficiency and to safeguard against loss, store any icons you may need to reuse in your local file system.

Even after uploading, the customized icon will not be assimilated into the standard ESS icon library. In instances where a custom icon is replaced by a standard one from the ESS library, re-uploading the custom icon will be necessary.

Additionally, in the Support tab domains, a plus icon (+) will appear atop the icon. Although a custom icon can be uploaded for a support domain, it will not be visible to end users when they are reporting an IT issue.
