Approval Delegation
Individuals with approval permissions can delegate approvals during vacations or other absences. Approval rights can be delegated to a deputy for a specified time period, and any person can be set as a deputy approver.
Note: The Efecte Identity Management connector must be installed to use this feature.
To see the "+Add deputy" button, the following use cases must apply:
- The person is a supervisor.
- The person is a deputy for someone.
- An approval is sent to the person.
- The person is set to be a dedicated approver.
To define a deputy:
- The user selects Approval delegation from the home Self-Service page and clicks the Add deputy button.
- The deputy is chosen from the dropdown list, and the time period is defined before clicking the Create button.
- The delegation is effective between the start and end dates, inclusive. The original approver or the deputy receive email notifications and can approve requests.
Note: A person can only act as a deputy for one time period for a given user. The person who submits the request is informed about the delegation.
Configuring Approval Delegation
The Self-Service Portal administrator can enable or disable approval delegations for approvers. The "Approval delegations allowed to" setting is located on the Settings page, under the "Incident and Service Request settings" area. There are three options:
- Approvers only: Only managers and service offering approvers can add a delegate (default).
- No approval delegations allowed: All users are barred from approval delegation.
- Everyone can delegate approvals: Any user can add a deputy, allowing, for example, Workflow approvers to add a deputy.

Note: Changes to approvers take effect upon next login or page refresh. Existing requests awaiting approval are not affected.
