Folder Permissions

The Folders folder in the Permissions folder tree pane contains the folders used by each ESM module. The folders are sorted by their respective module folders. When you select one, its permissions are shown in the content area

Folder Properties

Folder properties consist of:

  • Folder name
  • Folder ID
  • Folder code
  • Settings for the allowed templates

Basic folder properties

In the folder properties view you can view and edit basic folder properties:

  • Folder name – This is the name which will be visible everywhere in the UI.
  • Folder ID – This is an automatically generated, database specific numeric id. This cannot be changed by user.
  • Folder code – This is a unique identifier that is used in some situations instead of the numeric id. It is recommendable to use only alphanumeric characters and the underscore (_) for the folder code.

Folder properties view offers also an option to move the folder to any other place within the module (i.e., product).

Allowed templates

These settings define what kind of data cards can be created in this folder. Only templates in the current module are displayed.

If the “Allow new templates” setting is on, it means that when new templates are created in this module, they will be allowed in this folder. By default this setting is off.

If the current folder has subfolders, root users can also see a button for copying the current folder’s settings to all subfolders (i.e., child folders and all the descendants). This functionality copies both the “Allowed templates” and the “Allow new templates” settings.

Note:

If you make changes to the settings, you must first save the folder before you can use the “Copy settings to subfolders” button. The button is disabled while there are unsaved changes in the settings.

 

Folder Permissions

You can create and modify a user role’s permissions for data cards in a particular folder in two ways:

  • The first option is to select the Permissions view and select the folder in a module folder under Folders in the folder tree pane. 
  • Second way is to select a module view, select the folder, and click Permissions in the display menu. The Folder permissions view opens and lists all the user roles in the system, as shown in the screenshot below.

You can freely grant and deny the various roles permissions to that folder by selecting the Create, Read, Update, and Delete checkboxes. Folder permissions give rights to read, create, update, and delete data cards in the folder. The permissions do not give the user the right to create subfolders or edit and delete the folder itself. Folder permission makes the folder visible to the role. To actually see the data cards permissions of allowed template needs to be defined also.

You can filter the roles based on what permission they have. Select the permission checkbox(es), and click Filter. The view lists the roles that have the selected permission or set of permissions.

You can also search the folder permissions by either user or role. If you select Users from the drop-down menu and click Search, the search returns a list of users, displaying their permissions for the folder.

Allowed templates lists the data cards that are allowed in the folder. You can click a template name to open its permissions view.

Note:

Folder permissions give the role a general right to view, create, update, and delete data cards in the folder in question. Template permissions define which data cards the user can view, create, update and delete.

 

If you select the Cascade permissions checkbox, the folder’s subfolders inherit the permissions given.

Folders on Working space

Following settings must be set to see folders on workspace

  1. Show folders on Working space - setting must be enabled by Efecte Admin from role settings:
  2. If enabled user can change folder visibility from own profile settings:
    1. Before views – shows folders before role based views, default setting
    2. After views - shows folders after role based views
    3. Hide - hides folders from workspace
