Creating, Editing, and Collaborating via Data Cards in ESM

Creating New Data Cards

Users with the necessary permissions can click the 'New' button (1.) to create new data cards. If you're on a view listing specific data cards, pressing 'New' will create a data card of that template. The dropdown next to 'New' (2.) allows users to select any template they have permission to create. Use the typeahead search for easier template finding.

In the new Agent UI, the button described above looks slightly different:

Fill in or select the required information from dropdowns. Fields that are mandatory are marked with a red asterisk (3.). After inputting all required information, save the data card (4.). If there's a choice to save the data card in multiple folders, select the appropriate folder before saving (5.).

Note: The data card layout may vary by template; it could be in one or two columns. The column number might change if the window width is adjusted.

Note: In dashboard mode, the 'New' button is only visible when the window is expanded. Each Efecte user can set a favorite action for the 'Create New Button' (6.), be it a specific template or the one currently in use. Adjust this in the profile settings (7.).

In the new Agent UI, the graphical layout has been improved. 

Editing Data Cards

Users granted editing permissions can utilize the 'Edit' buttons.

Click 'Edit All' (1.) to modify all fields or choose a specific class (2.) you'd like to update. After making necessary changes, press 'Save' (3.).

  • When editing a data card, the ‘Edit’ button is replaced with “Cancel” and “Save” buttons.
  • If you attempt to edit a data card that's currently being edited by someone else, you'll receive a notification.
  • If you try editing a locked data card, another notification will appear, but pressing 'Edit' lets you proceed. However, note that the current editor will be blocked from saving their changes.

Editing Data Cards in the New Agent UI

In the new Agent UI, the ‘Edit all’ button has been replaced with the Edit-button on the top right corner of the data card:

Data cards can also be opened directly to Edit- or View-modes by using the Edit- (left) and View-buttons (right) under the Manage-column in the list view:

 

If you attempt to edit a data card that's currently being edited by someone else, you'll receive a notification. 

This lock ensures that only one user edits a card at a time to avoid overwriting changes. The locked data card is displayed with a lock-symbol in the Edit-button:

If you try editing a locked data card, another notification will appear, but pressing 'Edit' lets you proceed. However, note that the current editor will be blocked from saving their changes.

Collaboration on Single Data Cards

The collaboration mode, when activated by your administrator, shows which users are concurrently viewing a specific data card. This feature enhances collaborative efforts, aligning with agile work methods such as swarming. Even more, users can comment on the data card without entering edit mode.

In this collaboration mode, you'll see abbreviations of the names of other users viewing the data card. An editor is distinguished by inverted colors. If the data card's content is modified by the editor, it auto-updates for all viewers based on an interval set by the administrator. Concurrent viewers also receive a notification of the changes.

Help Texts

Guidance for filling in fields is provided via help texts, which become visible when you click on the question mark icon.

For viewing the help texts without clicking, hover over the question mark with your mouse.

In the new Agent UI, the icon has been slightly changed:

Also, when mouse-hovered, it changes to a pin-icon:

If the pin-icon is clicked, then the help text is pinned, and it stays open until it is unpinned by pressing the icon again:
