List View Form Field
Overview
List View is a new form field type for General Forms and Catalog Forms in Pro Self-Service, released in 26.2.0. It lets an admin surface an existing self-service list view directly inside a form — either purely for display, or as a way for the end user to select one or more data cards whose values are sent back to the request.
There are two related field types:
- List View — (form field) selectable. The end user can pick one or more data cards, and the selection is saved to a target attribute.
- List View (Read-Only) — (element) display-only. Shows the list view's data cards for reference; the user cannot select anything and no value is saved.
Prerequisites
- The list view you want to reference must already exist as a self-service view (saved under the Self-service views area) before you can pick it as the field's source. It can also be one of the "My Cases" list views.
- Standard admin access (the same access needed to create or edit General Forms / Catalog Forms).
How it Works
- On a General Form or Catalog Form, add a new field and choose List View (under Fields, for the selectable variant) or List View (Read-Only) (under Elements, for the display-only variant).
- Choose the Source: the existing self-service list view to display.
- For the selectable List View field, choose a Target attribute — a Target is required; the field cannot be saved without one. Accepted target types are Reference (single- or multi-value), String, or Text.
- With a multi-value Reference target, the user can select multiple data cards. You can set selection limits (minimum/maximum) to control how many are required or allowed.
- With a single-value Reference target, only one data card can be selected. Selection limits are hidden and replaced with a simple Required toggle.
- With a String or Text target, the list view's selections can be multi-mapped into the same text attribute as other fields, the same way other field types support multi-mapping.
- Switching a field between single-value and multi-value targets clears any previously set selection limits and the Required setting.
- Give the field a Name (required).
End-user Experience
- New field type: List View (selectable data card picker) for General and Catalog Forms.
- The field appears on the form; clicking it opens a modal showing the list view's data cards and configured columns. If there are more items or columns than fit the view, the table is scrollable both vertically (items) and horizontally (columns).
- If you use New Element → List View (Read Only), then it's shown in the form as “View Table” button.
- Search box in the List View. Minimum 3-characters required before a query is done.
- Data is paginated according to the list view's configured page size.
- List view data is fetched using the same access rules as the "My Cases" list view, including support for user macros.
- Selected values appear as chips on the form page, looking and behaving like a multi-select drop-down.
- The same data card cannot be selected twice, even if the target attribute otherwise allows the same reference to be used multiple times.
- Data cards from templates that are not part of the Target attribute's "Reference template" list are not selectable in the modal.
- When a column's content doesn't fit, the cell is truncated and a tooltip shows the fuller text on hover or focus.
Multi-template List Views
If the source list view includes more than one template, on the Self-Service side, list view would automatically shows each template as its own tab:
- If the list view has only one template, no tab selector is shown.
- Each tab shows a counter of how many rows are currently selected on that template.
- Clear Selections only clears selections on the currently active tab, not on other tabs.
Things to Know Before Using This
- Editing that list view elsewhere changes what the form field shows.
- The form field only references the list view by selection, the list view's own definition is maintained on the list view itself.
- A List View field cannot be used as the condition source that drives another field's visibility.
- Other fields can't have a condition that checks a List View field's value.
- The List View field can still be shown or hidden by a condition on it.
Known Limitations
- There is no inline display variant of the List View field yet.
- Columns in the list view modal cannot be sorted by clicking the column header yet.
- List View fields cannot be used as a source for conditions.
Troubleshooting
| Symptom | Action |
|---|---|
| One or more templates don't allow selection on the SeIf-Service side |
Check referenced templates on the target attribute. Template > [Form's target template] > Attributes > [List view field's target attribute] > Reference settings > References template Only templates that are also included in the Target attribute's "Reference template" list get a selection checkbox. Templates that are part of the list view but not in that reference list still appear as a tab, but without a way to select rows. |
